What’s New in Rave: Introducing My Mail and Branch Mail

Communication is at the heart of every successful building project. Whether you're working with clients, coordinating with contractors, or collaborating with your internal team, keeping emails organised and accessible can make a huge difference to productivity.

That’s why we’re excited to introduce two powerful new features in Rave: My Mail and Branch Mail. Together, these tools create a smarter way to manage communication across your entire business — keeping everything organised, searchable, and connected to the right projects.

A Smarter Way to Manage Email in Rave

The new Rave Mail system introduces two levels of mail management:

My Mail – Your personal communication hub within Rave. Rave help Article Link here
Branch Mail – A branch-wide view that allows authorised users to manage communication across the entire business. Rave help Article Link here

Together, they ensure that important conversations are never lost and that teams always have the context they need.

My Mail: Your Personal Mail Dashboard

My Mail gives every user their own central place to manage all email communication connected to their work in Rave.

Instead of navigating between projects and enquiries to track conversations, My Mail brings everything together in one simple dashboard.

Within My Mail you can quickly access:

  • Inbox – Emails you have received
  • Sent – Emails you have sent
  • Drafts – Saved emails not yet sent
  • Trash – Deleted mail (with appropriate permissions)
  • All Mail – A combined view of your inbox, sent, and drafts

This makes it easier to stay on top of project communication and manage your daily conversations without switching between different parts of the system.

Branch Mail: Business-Wide Communication Visibility

While My Mail focuses on individual communication, Branch Mail provides a central view of all mail activity across your entire branch.

Authorised users can review and manage communication across projects, enquiries, and general mail — helping leadership teams maintain visibility across the business.

Branch Mail allows you to:

  • View mail sent and received across the branch
  • Manage communication from different users
  • Review project and enquiry correspondence
  • Maintain oversight of business-wide messaging

This feature is especially valuable for branch owners, managers, and administrators who need insight into communication across the organisation.

Mail Types Designed for Construction Workflows

To keep communication organised, Rave Mail uses three mail types that align with your workflow.

Project Mail

Emails linked directly to a specific project. All communication related to the job is stored alongside the project record.

Enquiry Mail

Emails connected to a client enquiry, helping your CRM and sales teams manage early-stage conversations.

General Mail

Messages sent outside of a specific project or enquiry. These can be used for broader communication with:

  • Clients
  • Contractors
  • Internal staff

Using the correct mail type ensures communication is automatically stored in the correct location within Rave.

Powerful Search and Filtering

As your business grows, so does the amount of communication flowing through your system. The new mail features include tools that make it easy to locate emails quickly.

You can:

  • Search using keywords
  • Filter by mail type (Enquiry, Project, or General Mail)
  • Filter by specific users
  • Filter using mail tags
  • Sort messages newest to oldest or oldest to newest

These features make it easy to locate historical conversations across projects and enquiries.

Flexible Permissions for Complete Control

Mail access within Rave is controlled through user permissions, allowing businesses to decide who can send, view, or manage communications.

Permissions can be configured for:

  • Project Mail
  • Enquiry Mail
  • General Mail
  • Branch Mail visibility

For example, General Mail is enabled for Branch Owners by default, helping prevent accidental bulk communication to clients or contractors.

Administrators can then enable access for other users as needed depending on their role.

Visibility Settings for Sensitive Communication

When sending mail, users can choose who can see the message within Rave.

Emails can be set to be:

  • Visible to all users with permission to view others’ mail, or
  • Visible only to participants within the email thread

A visibility icon also allows users to control whether messages appear only to them or to other authorised users within the branch.

This provides flexibility when managing internal discussions or sensitive communication.

Automatically Linked Project Communication

One of the biggest benefits of the new mail system is that communication stays connected to the work it relates to.

When sending Project Mail or Enquiry Mail, the message is automatically stored within the associated project or enquiry record. This ensures:

  • Communication histories remain complete
  • Team members can quickly review past discussions
  • Important information stays connected to the job

Safe Mail Deletion

Mail and comments deleted within Rave are soft deleted, meaning they are not permanently removed from the system immediately.

If permanent deletion is required, this can be requested through Rave Customer Support. Once permanently deleted, the information cannot be recovered.
