Six Big Rave Build Updates You Need to Know About

We’ve been busy.

The latest Rave Build updates are all about one thing: less admin, better visibility and smarter ways to run your business.

From AI and automated document scanning to website leads, checklists and a major Documents upgrade, there’s plenty that’s new.

Here are six updates worth knowing about.

1. OCR & Document Scanning

Supplier bills and credit notes can be some of the most repetitive admin in a building business.

So we’ve made them a whole lot easier.

Rave Build’s Document Scanning uses OCR and AI technology to read supplier documents and pull the key information directly into Rave.

Automatically or manually send bills and credit notes to your dedicated scanning email address or manually upload documents to our scanner and Rave can identify details such as:

  • Supplier Name
  • Invoice or credit note information
  • Purchase Order references
  • Line item details
  • GST
  • Document totals

From there, Rave helps match the document to the relevant Purchase Order, Quote or Project.

If a bill relates to multiple Purchase Orders, you can select more than one and assign individual lines to the correct PO.

No matching PO or Quote? Simply assign the bill directly to the Project.

Once you’ve reviewed everything, approve it and send it through to Xero.

Less rekeying. Less doublehandling.

From as little as 20 cents per Scan get More time back in your day.

2. Website Leads

Your website shouldn’t just collect enquiries.

It should help start your sales process.

With Website Leads, META leads, GOOGLE add leads and LINKEDIN leads, enquiries submitted through these chanels can flow directly into Rave CRM.

You can connect using our API or embed a Rave form.

That means less copying information from emails and forms, and fewer manual steps before a lead reaches your sales team.

You can configure the information you want to collect and also capture marketing data including:

  • UTM Source
  • UTM Medium
  • UTM Campaign

That gives you better visibility over where your enquiries are actually coming from and which campaigns are generating leads.

From enquiry to CRM pipeline, without the extra admin in between.

Branch Settings → Integrations → Website Leads when enabled for your Business.

3. A Major Documents Upgrade

We’ve given Documents a significant upgrade to make it easier to organise files, control access and keep project information where your team expects to find it.

Smarter Project Folders

Branches can create their own folder structures and control how they appear across projects.

Folders can be:

  • Reordered
  • Recurring
  • Mandatory
  • Archived
  • Controlled through permissions

So every project can follow a consistent structure without needing to recreate folders manually.

Private Contractor Folders

Contractors have their own dedicated document folder inside a project.

Only your branch and that contractor can access it.

Other contractors cannot see what’s inside.

That gives you a much cleaner way to share contractor-specific documents without mixing them into general project folders.

Financial Documents

Important project financial documents are kept together automatically.

This includes documents such as:

  • Latest Estimate versions
  • Variations
  • Sent Purchase Orders

No more digging around different areas of the project to find the PDF you need.

Task Files

Files uploaded through Schedule Task comments can also be viewed through Task Files, making it easier to find documents that have been shared as part of day-to-day project activity.

Better Permissions, Archive & Trash

We’ve also added more detailed document permissions across Library, Branch Folders and Project Folders.

And when something is no longer needed, you have more control over what happens next.

Archive folders you no longer want active, restore deleted documents from Trash, or permanently remove them when required.

Better organisation. Better control. Less document chaos.

4. AI Agent

We have also introduced more AI into Rave Build.

Our AI Agent gives users a more natural way to interact with information inside Rave.

Instead of navigating through multiple screens and filters, users can ask for the information they need and have the AI Agent help surface relevant Rave data.

That can include information relating to:

  • Projects
  • Clients and enquiries
  • Quotes
  • Purchase Orders
  • Bills
  • Progress Payments
  • Activities
  • Financial information

It’s an evolving part of Rave Build and one we’ll continue expanding as we introduce more ways AI can support administration, reporting and project management.

The goal isn’t AI for the sake of AI.

It’s making the information already inside Rave easier to access and more useful.

5. Personal Access Tokens

Sometimes Rave needs to work with more than just Rave.

That’s where Personal Access Tokens come in.

Personal Access Tokens provide a secure way for authorised users and external applications to access Rave Build through our API.

They can be used for things like:

  • Custom integrations
  • Internal tools
  • Automations
  • Connecting Rave with other systems

This gives businesses and developers more flexibility to build workflows around the systems they already use.

Tokens should be treated like a password, kept secure and only shared with trusted applications or users.

Together with Website Leads and our wider API capabilities, Personal Access Tokens open up even more possibilities for connecting Rave Build with the rest of your tech stack.

6. Better Checklists

Checklists have also had another round of improvements.

They’re now more flexible and easier to use across both the office and site.

Updates include:

  • Custom checklist options
  • Additional assignees
  • Images
  • Comments
  • Improved mobile functionality
  • All To-Dos
  • My To-Dos

This makes it easier to see what needs to be done, who is responsible and what has already been completed.

Photos and comments can also be added directly against checklist items, creating a clearer record of the work carried out.

Use them for site inspections, handovers, quality checks, health and safety, internal processes or just about any repeatable workflow your team needs to stay on top of.

Less Admin. More Control.

These six updates may cover very different parts of Rave Build, but they all come back to the same goal.

Make running a building business easier.

Document Scanning reduces manual entry.

Website Leads gets enquiries into your CRM faster.

Documents keeps project information organised.

AI Agent helps you get to your data more easily.

Personal Access Tokens make integrations more flexible.

And Checklists help keep your team and processes on track.

It’s all part of continuing to build a platform that connects more of your business from the first enquiry right through to project delivery, financial management and reporting.
